Pipeline you can’t trust
Open deals that are in your forecast but not in anyone’s hands.
- Deals stuck in a stage
Open deals that have sat in the same stage for more than 45 days.
- Open deals with no owner
Open deals with nobody in the owner field.
- Deals owned by someone who’s left
Open deals whose owner is a deactivated user.
- Close date already passed
Open deals whose expected close date is behind you.
- Open deals with no next step
Nothing scheduled: no task, no meeting, no next step.
- Open deals with no amount
Open deals with no dollar value.
- Deals with no contact or company
Deals not attached to a person, a company, or either.
- Stale open deals
Open deals nobody has touched recently for their stage.
Duplicates
The same buyer or account, more than once.
- Duplicate contacts
The same person in your CRM more than once.
- Duplicate companies
One company, several records.
Records that don’t connect
People and accounts that can’t see each other.
- Contacts with no company
Contacts that aren’t attached to any company.
- Email domain doesn’t match the company
A contact linked to one company, using another company’s email domain.
Fields you can’t report on
Blank, inconsistent, placeholder or malformed values.
- Missing key fields
Records missing the fields everything else depends on.
- Inconsistent values
One value written several ways.
- Placeholder values
“test”, “n/a”, “tbd” or “asdf” typed into a field to get past it.
- Malformed emails and domains
Email addresses and company domains that aren’t in a valid format.
- Non-standard lifecycle stage
HubSpot contacts with a lifecycle stage your reports don’t recognise.
Clutter and decay
Dead weight that slows reps and skews reports.
- Unused custom fields
Custom fields that almost nobody fills in.
- Untouched contacts and companies
Records nobody has changed in more than 90 days.
- Bounced emails and stale imports
Contacts whose email has bounced, and imports nobody has touched since.
Severity is the report’s rating of how directly a problem hits pipeline and revenue. Critical and High touch deal value or your forecast, or affect most of an object. Medium costs rep time or breaks reports. Low is hygiene. The rating on each page is the check’s usual level; the report rates each finding on your data.
